POSITION SUMMARY
:

Provides administrative and bookkeeping support to the Office Supervisor / Assistant to the Executive Director, other administrative staff and professional planning staff as outlined below in the essential duties and responsibilities section.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Assists the Office Supervisor/Assistant to the Executive Director as required and directed.
  • Databases – designs and maintains various databases.
  • Performs a variety of administrative tasks to promote customer service including telephone and visitor screening; types and composes correspondence; files; performs mailings; photocopies.
  • Bookkeeping – assists the Office Supervisor / Assistant to the Executive Director with performing bookkeeping responsibilities related to departmental finances including but not limited to; payroll as well as general accounts receivable and payable.
  • Assists with contract invoicing including Municipal, State and Federal contracts and pass-thru grants. Assists with accounts payable, receivable and bookkeeping records for Planning and HHW program.
  • Lawson/ERP generates reports, budget entries and journal entries.
  • Desktop Publishing – may be required to prepare various department documents, pamphlets, brochures, and newsletters.
  • Word Processing – conducts word processing functions to produce various documents and correspondence.
  • Spreadsheets – includes design/formatting, data input and creation of charts and graphs as required.
  • Will be required to relieve administrative staff as assigned.
  • Composes correspondence or reports as required.
  • Makes arithmetic computations as warranted by office procedures.
  • Performs similar or related duties as required.

QUALIFICATIONS REQUIRED:

  • High school diploma, Bachelor’s degree or equivalent.
  • At least 2 years’ experience with bookkeeping related data entry and management.
  • Knowledge of Business English, spelling and arithmetic.
  • Must be proficient in the Microsoft Office Suite programs: Access, Excel, Outlook, Power Point, Publisher, and Word.
  • Working knowledge of Adobe Acrobat Professional and Photoshop.
  • Typing skills – minimum 60 wpm.
  • Must have a good command of the English language and possess strong written and communication skills and knowledge of business arithmetic.
  • Must be able to work efficiently without direction.
  • Must perform basic telephone etiquette communicating in a pleasant fashion.
  • Must have extensive experience in the operation of office equipment (i.e., scanner, facsimile machine, photocopiers, etc.).
