POSITION SUMMARY:

Assist General Services Division office in an operational support role through logistics, coordination of workflow and services for all County Facilities including scheduling, work orders, appointments, answering phones, reports, payroll, accounts payable, and other administrative and clerical tasks.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Composes letters, reports, spreadsheets, and routine business correspondence as assigned or necessary for the completion of a project.
  • Schedules appointments for Director.
  • Process payroll for the whole department (using Kronos and Lawson).
  • Manage and oversee the work order process.
  • Serve as HR admin for the department.
  • Responsible for email for the Car Share and update spreadsheet.
  • Open, stamp in, and route incoming mail; Copy and scanning of files including correspondence and other records both paper and digital scans to maintain a complete record for projects or accounts.
  • Answers phones and gives information to callers or routes calls to appropriate destinations.
  • Prioritizes work by using sound judgment.
  • Works independently and collaboratively with office and field staff providing support for projects and operations.
  • Other duties may be assigned.

QUALIFICATIONS REQUIRED:

  • High school diploma or equivalent.
  • Ability to multi-task in a busy office environment.
  • Organized, accurate, and able to carry out directions to achieve the end goal.
  • Proficient in Microsoft Office 365 Software (Outlook, Excel, Word, PowerPoint) with a keyboard skill of 45 wpm.
  • Payroll software a plus.
  • Ability to introduce and implement innovative ideas, be highly organized with ability to multitask and meet changing deadlines.
  • Must be able to work without direction with attention to detail and high degree of accuracy.
  • Must maintain confidentiality.
