POSITION SUMMARY:

Performs administrative tasks related to the implementation of federal and state grant programs and serves as office manager for the departments.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Ability to comprehend state and federal regulations and explain requirements to others.
  • Provides administrative support in processing of grants and project contracts.
  • Processes project payment requests and maintains appropriate financial records and databases as required.
  • Assists in development and maintenance of department budgets including accounts payable and receivable.
  • Maintains employee records including attendance and payroll functions.
  • Performs a variety of administrative tasks including typing and composing correspondence, filing, mailings, photocopying, scanning, scheduling meetings, speaking engagements, field monitoring visits, and maintains various databases and spreadsheets.
  • Manages and maintains office inventory of supplies, continued operation of office equipment, and prepares work orders for office maintenance.
  • Other duties as assigned.

QUALIFICATIONS REQUIRED:

  • High school diploma required, bachelor’s degree preferred, as well as three years related office work or equivalent work experience.
  • Typing skills at 50 wpm.
  • Possess excellent writing, computer, and analytical skills. Must be proficient in the following software programs: Microsoft Word, Excel, Outlook, Access, PowerPoint, and Adobe Acrobat. Working knowledge of Infor Lawson a plus.
  • Must possess good command of the English language, strong written and verbal communication skills, and knowledge of business arithmetic.
  • Experience in fiscal and human resources management.
  • Must perform basic telephone and email etiquette communicating in a pleasant fashion.
  • Must have extensive experience in operation of office equipment.
  • Ability to introduce new and innovative ideas that contribute to department’s mission.
  • Must be able to work efficiently without direction.
  • Must possess and maintain a valid driver’s license and have use of a personal vehicle.
