POSITION SUMMARY:

Provides clerical support services to Long Term Care Unit.  One of three clerical staff assigned to the Unit.  Each has specific staff and duties assigned and each works cooperatively to provide backup for others’ duties.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Basic duties and responsibilities include:
  • Works cooperatively with other clerical staff in Unit to ensure completion of essential activities.
  • Answers phone, redirecting callers or taking messages as needed.
  • Types (uses personal computer).
  • Files and retrieves case records; maintains files.
  • Distributes mail.
  • Collates data; prepares reports.
  • Photocopies, collates and ensures adequate supply of photocopied forms.
  • Uses standard office equipment: personal computer, telephone, fax, Xerox machine and typewriter.Orients staff to equipment use; maintains clerical equipment (replaces cartridges, clears jams, makes minor repairs/adjustments).Checks that equipment is turned off at end of day.Call forwards and cancels same for Protective Services phone.
  • Provides routine clerical support for Unit staff and for assigned programs:
  • Provides clerical services to Unit Deputy, Supervisors, Care Managers and in-house contract staff, completing tasks as assigned.
  • Completes non-routine travel authorization forms for assigned staff.
  • Maintains and files monthly staff sign-out sheets.
  • Maintains and updates databases/logs/files for assigned programs such as FCSP, PS, PAA, Options, Waiver, Attendant Care and referrals for HIS, ADC, Counseling, etc.
  • Distributes related forms to appropriate destinations within and outside AAA.
  • Files and retrieves case records; maintains files.
  • Ensures adequate supply of program materials.
  • Prepares packets of materials for dissemination by Unit staff.
  • Participates in monitoring and reordering supplies as needed.
  • Provides daily data entry:
  • Searches mainframe master file for client status with AAA, if any.
  • Enters data onto mainframe and appropriate databases for all cases to be activated in Unit.Assigns case numbers to new cases and reactivates closed cases with existing case numbers.Distributes newly activated cases to assigned Care Managers.
  • Data enters closed cases onto mainframe and appropriate databases for cases being closed in Unit.
  • Maintains monthly record of cases activated and closed by workers.
  • Tallies numbers opened and closed for each worker monthly.
  • Notes case number and date closed on side of file, staples and files closed cases.
  • Assigns worker and provider numbers for computer data entry.
  • Updates/corrects computer records with information from multiple provider forms, update sheets, transfer lists, notes of corrections needed, etc.
  • Other duties may be assigned.

QUALIFICATIONS REQUIRED:

  • High school diploma or equivalent (business curriculum that included a minimum of one typing course).
  • Six months as a Clerk Typist I or any combination of equivalent experience and training.
  • Capability of working efficiently with the ability to relate to other offices within the County as well as to the public.
  • Computer literacy with a minimum of 40 WPM.
  • Knowledge of business English, spelling and mathematics.
