POSITION SUMMARY:

Senior level assistant position, primarily supporting the Director and Assistant Director of the Board of Elections in correspondence and communications with poll workers, procurement, election preparations and other support.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Acts as a confidential assistant to the Director and Assistant Director.
  • Processes forms and documents required by the Election Code.
  • Assists in maintaining election official listing for all polling places, including placement of election officials.
  • Assists with correspondence sent and received by Director and Assistant Director.
  • Assists with coordinating the delivery of election supplies.
  • Assists with all aspects of procurement.
  • Ability to learn, understand and comply with the Pennsylvania Election Code.
  • Ability to operate in an accurate, detail oriented fashion with exceptional telephone, verbal and written communication skills.
  • Updates office spreadsheets as needed.
  • Follows through on progress of management initiatives.
  • Proofreads election materials.
  • Answers telephones and helps at counter.
  • Reports unusual conditions or questionable items to supervisor.
  • Other duties may be assigned.

QUALIFICATIONS REQUIRED:

  • High school diploma or equivalent.
  • 2-5 years of experience in an office environment supporting professional employees
  • Exceptional computer skills; MS Word, Excel, Outlook, etc.
  • Must be able to type accurately - minimum 40 wpm.
  • Ability to work effectively with the public, employees and other offices.
