POSITION SUMMARY
:

Provides general office support with a variety of clerical activities and related tasks.  Will be responsible for answering incoming calls, directing calls to appropriate staff, mail distribution, flow of correspondence, as well as additional clerical duties. Welcomes and receives County employees and visitors from the general public, directs them to their destination and answers questions concerning the County as well as Human Resources related questions. All the above-mentioned responsibilities should be executed in a pleasant manner and attitude. Must have the ability to maintain a positive work atmosphere by acting and communicating in a manner that is professional with customers, clients, co-workers, and supervisors.  Must have the ability to maintain confidentiality at all times regarding all aspects of Human Resources. Reports to Director and Assistant Director of HR.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Greets and directs visitors that come into the County HR department.
  • Receives inquiries in person, via phone and email.Provides the necessary information in a business-like, professional manner.
  • Answers telephones and directs the caller to the appropriate HR staff member.
  • Retrieves messages and returns calls on various County/HR related inquires.
  • Maintains the personnel file room ensuring all personnel files are locked up and filing is up to date.
  • Assists with onboarding and new hire orientation which may involve coordination with other departments.
  • Receives, sorts and forwards incoming mail.
  • Processes all employment verifications, out of class forms, sick vacation trade forms and other similar documents as required.
  • Conducts new hire follow-up interviews and prepares data on feedback.
  • Enters payroll hours/timekeeping for the department.
  • Scans, copies, faxes, collates.
  • Provides general office support when needed.
  • Performs other duties or special projects as assigned.

QUALIFICATIONS REQUIRED:

  • Bachelor’s degree preferred; high school diploma and/or GED equivalent required with one (1) to three (3) years related education and/or experience working in an office.
  • Human Resources experience strongly preferred.
  • Proficiency in Microsoft Office programs, specifically Word, Excel, and Outlook.
  • Knowledge of Human Resources Information Systems (HRIS) preferred; Lawson experience highly desirable.
