Register Trainee



Register of Wills & Clerk of Orphans Court







Customer-focused service and advanced clerical work and responsibilities in relation to the mission of Register of Wills and Clerk of the Orphans Court.


  • Process Petitions for Grant of Letters and request appropriate companion documentation, such as affidavits and renunciations where appropriate
  • Process exemplifications and prepare letters testamentary and letters of administration
  • Process applications for marriage licenses
  • Process Orphans’ Court and Register of Wills filings
  • Complete all daily cash drawer reconciliations associated with financial transactions
  • Administer oaths, certify and exemplify documents and receive affidavits
  • Identify and solve advanced probate issues; consult with management and/or solicitor on particularly difficult probate issues
  • Answer customer questions regarding all departmental services
  • Assist with community and public education programs, including attending, participating and preparing appropriate materials
  • Assist with records organization, storage, indexing, retrieval and preservation via traditional and electronic means
  • Create, diary and follow-up on notices of delinquent filings under applicable rules of court and statutes, such as Pa. O.C. Rule 10.5 and Pa. O.C. Rule 10.6 and the Pennsylvania Guardianship law
  • Participate in ongoing training and cross-training to improve skills
  • Perform role of back-up to Probate Litigation Coordinator and Inheritance Tax Agent, if necessary
  • Review educational materials and programs presented to increase knowledge
  • Participate in satellite office, evening and weekendprograms and travelling services, as assigned
  • General clerical work, including typing, dictation filing, organizing files and other tasks, as assigned
  • Other duties, as assigned by management

  • High School Diploma or equivalent
  • Basic computer skills and familiarity with MS-Windows, MS-Office
  • Computer typing skills of 35 wpm; filing, fax, printer, computer and other office equipment utilization skills
  • Professional demeanor and ability to communicate complex information with persons from all walks of life and educational levels
  • Experience in general office work and procedures with at least one year of equivalent office work experience
  • Familiarity and/or ability to learn methods, techniques and materials used in historical research and e collection and disposition of public records and in the care and preservation of permanent records

While performing the duties of this job, the employee is regularly required to sit.  The employee frequently is required to stand; walk; reach with hands and arms; and talk and hear.  The employee is occasionally required to use hands to finger, handle or feel objects, tools or controls.  The employee must occasionally lift and/or move up to 25 pounds.  Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.  In order to facilitate a strong customer service experience, employees shall be well groomed and shall not have any visible tattoos or extraordinary visible body piercings.
