SUMMARY: Must interpret all court actions and act upon them accordingly into statewide Common Pleas Case Management System (CPCMS).  Responsible for accurate and efficient processing of court and administrative duties into CPCMS.  Performs clerical functions, customer service, miscellaneous filing and operates a computer efficiently.  Provide assistance to other areas of the office when needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  • Accept for filing all matters, such as petitions, orders, appeals from summary convictions, etc.
  • Comply with instructions contained in court orders and make service to all involved parties and record such service.
  • Prepares files for miscellaneous cases and makes service on District Attorney, Magisterial District Justice, and arresting police officer on all summary appeals. 
  • Create cases for road matters, search warrants, governor’s warrants, liquor control board appeals, forfeitures, etc in the CPCMS statewide system.
  • Prepare files for Juvenile and Child Welfare hearings and docket all related filings and generates juvenile billing and takes payments.  Case processing of juvenile delinquency and dependency in compliance with juvenile rules.
  • Handling of confidential material and secure access to CPCMS statewide computer system.
  • Prepare Exemplification Orders and proper paperwork for extraditions when required. 
  • Responsible for Private Detective applications and issuance of licenses and badges.
  • Docket all petitions to be forwarded for Judge’s signature and input appropriate information as to court action into the CPCMS system.
  • Process petitions and orders for constables
  • Perform records searches for the public and government agencies.
  • Check for Arraignment and Trial dates for Petitions filed.  Have files prepared for arraignment or hearings according to court list and schedule.
  • Prepare and submit Certification Reports on all convictions for specific charges and for acquittals for all cases in which defendant’s appeal has been sustained or offense has been changed.
  • Prepare Bench Warrants for arrest of defendant in CPCMS when ordered by the Court. 
  • Organize, develop, and maintain reports as required.
  • Perform routine technical requirements of the office and miscellaneous filing.  Operate office equipment as required.
  • Daily communication in person, and by telephone, with other departments and the public to expedite information, answer questions, etc.  Assist attorneys, reporters, etc. at counter.
  • Assist other divisions in the department when backlog occurs; handle designated responsibility when another employee is on vacation, sick, or out of work for any other purpose.
  • Review all incoming mail and direct it to the proper division for response or answer it. Responsible for all outgoing mail.
  • Knowledgeable on office fee bill and structure.
  • Record and track all petitions filed on cases at the Magisterial District Justice level.
  • Work efficiently with Management to insure efficiency and increase productivity.
  • Other duties may be assigned.

  • High school diploma or equivalent
  • Proficient computer skills - keyboard skills of minimum 40 w.p.m.
  • Interact effectively with public, personnel and throughout criminal justice system
